General Congress and Program Questions
1. When does the Congress Program begin?
The APHA Annual National Congress begins on Monday 17 October 2011.
The congress opening will begin at 9:00am in the Grand Ballroom on Level 3, Hilton Sydney.
2. Where will the Congress sessions be held?
All Congress sessions will be held at the Hilton Sydney.
No sessions will be held offsite.
3. Where will the Welcome Reception be held?
The Welcome Reception will be held at the Hilton Sydney.
Date: Sunday 16 October 2011
Time: 6.00pm - 7.30pm
Venue: Hilton Sydney, Zeta Bar
Dress: Smart Casual
Tickets - Admittance to the Welcome Reception is included in the full registration fee (only when the “attending” option is selected under social functions of the online registration form).
4. Where will the Pre-Dinner Cocktail Party, Congress Gala Dinner & Awards Night be held?
The Pre-Dinner Cocktail Party, Congress Gala Dinner & Awards Night will be held at the Hilton Sydney.
Date: Monday 17 October 2011
Time: 6.30pm - 12.00am
Venue: Hilton Sydney, Grand Ballroom
Dress: Black Tie / Evening Dress
Tickets - Admittance to the Pre-Dinner Cocktail Party & Gala Dinner is included in the full registration fee (only when the “attending” option is selected under social functions of the online registration form).
5. What is the dress code for the Congress?
During the Congress, smart casual attire is preferred.
Smart casual attire is recommended for the Welcome Reception and for the Congress Gala Dinner & Awards Night Black Tie / Evening Dress is recommended.
6. What time will the Trade Exhibition be open to delegates?
The Trade Exhibition will be open to delegates on Monday 17 October 2011 at 8:00am.
7. Can I bring extra guests to the social events?
Yes, extra tickets to both the Welcome Reception and the Congress Gala Dinner & Awards Night at the Hilton Sydney can be purchased up until Wednesday 12 October 2011 (based on availability).
Additional Welcome Reception tickets can be purchased for $65.00 per ticket and additional Congress Gala Dinner & Awards Night tickets can be purchased for $145.00 per ticket.

3. When does Early Bird registration end?
Early Bird Discounted Rate is applicable when received on or before Friday, 19 August 2011.
Full Rate fees are applicable when received on or after Saturday, 20 August 2011.
Please note: To qualify for the discounted Early Bird rate full payment must be received on or before Friday, 19 August 2011. If full payment is not received your registration fee will increase to the full Congress registration fee.
4. What is the cut-off date to register for the APHA 2011 Congress?
Registrations will be accepted via the Professional Congress Organisers office until 12pm on Friday, 14 October 2011. After this time, registrations will be available onsite at the Hilton Sydney from Sunday, 16 October 2011.
5. I need to cancel. Is there a cancellation policy?
All cancellations need to be made in writing to Stacey Rupil at Consec - Conference Management via email address
Congress Cancellation and Refund Policy
Delegates who find themselves unable to attend the Congress after submitting a registration form are most welcome to nominate a substitute. In the case of a cancellation, delegates must inform the Professional Congress Organisers in writing of their inability to attend.

Cancellations received before 16 September 2011 will be refunded, less an administration fee of $110.00. Cancellations after 16 September 2011 are not refundable. Exceptions are at the discretion of the organising committee. Any changes made to a registration, including accommodation, within seven (7) days of the Congress will incur a $40.00 administrative fee. By submitting your registration you agree to the terms of the cancellation policy.
Accommodation Cancellation Policy
Delegates who cancel their accommodation booking must inform the Professional Conference Organisers in writing of their cancellation. Bookings made after 15 September 2011 cannot be guaranteed.
(Hilton Sydney) Conditions of booking: Bookings cancelled between 30 days – 24 hours prior to arrival date will be charged for any room cancelled for each night that the room was reserved.
(Amora Hotel) Conditions of booking: Bookings cancelled between 14 days – 24 hours prior to arrival date will incur a 50% cancellation fee of total booking and cancellation on the day (and no shows) full charges will apply.

6. Will my details be published in the delegate list?
In registering for this Congress, relevant details will be incorporated into a delegate list for the benefit of all delegates (name and organisation only - in accordance with the Australian National Privacy Act), and may be made available to parties directly related to the Congress including Consec - Conference Management, the Australian Private Hospitals Association, the Congress Organising Committee, venues and accommodation providers (for the purposes of room bookings and congress options), key sponsors (subject to strict conditions) and parties associated with related events. By completing this registration form, you acknowledge that the details supplied by you may be used for the above purposes.
If you do not wish to be included in the delegate list you must tick the appropriate box on the registration form.

Please ensure all of this information is forwarded onto all people involved with your exhibition.
People who will be required to read this information include, but are not inclusive to;
- custom build contractors
- exhibition staff
- marketing/sales/administrative staff, and
- vehicle/courier contractors.

4. What time will bump-in and bump-out be for exhibitors?
Bump-in details:

All booths MUST be show ready by 8:00am on Monday 17 October 2011

Access to the exhibition area for move-in will only be available during this time (unless pre-arranged through Consec – Conference Management).

To arrange a custom build booth please contact EXPONET Exhibition & Events directly. See the EXPONET ‘Important Exhibitor Information’ notes for more detail.

NB: The maximum height for all exhibition and custom booths at the APHA Annual National Congress is 2.7m.

7. Additional Booth Catering
The Hilton Sydney does not allow food to be brought onto the property by guests. A service charge and/or corkage fee may be applied to beverage brought on to the property.

8. Deliveries/Collections
Consec – Conference Management and Hilton Sydney will not take delivery of any goods, packages or other materials on behalf of exhibitors, nor will they accept any responsibility for the safety or well being of any such items on, or delivered to, the site in the absence of the exhibitor or his/her agent or contractor.
To assist the smooth delivery of goods to your stand, all deliveries MUST be clearly marked with the ‘APHA Delivery Label’.

9. Loading Dock
The Hilton Loading Dock is located at 259 Pitt Street, Sydney.
The loading dock is open from 7am till 5pm, after these times the gate will be closed. To gain access, please supply the Hilton Sydney with vehicle registration details, type of vehicle and driver name.
